The Ultimate Party Rental Checklist for Boca Raton Events
Plan the Perfect Boca Raton Party — Nothing Forgotten
Boca Raton hosts thousands of backyard birthdays, school carnivals, HOA events, and corporate parties every year. The ones that go smoothly all have one thing in common: the host planned the rentals early and checked every box. This guide is that checklist.
Whether you're hosting 20 kids at a Boca del Mar birthday or 150 guests at a Broken Sound HOA event, here's what to lock in — and when.
8–12 Weeks Before: Lock In the Big Inflatables
The most popular bounce houses, water slides, and obstacle courses sell out weeks in advance, especially for October–May weekends. Start here:
- ✅ Choose your main attraction — browse Bounce Houses, Water & Dry Slides, or Obstacle Courses
- ✅ Confirm your outdoor space dimensions (width, length, surface type)
- ✅ Check whether your venue or HOA requires an insurance certificate (we can provide one)
- ✅ Reserve your date and pay the deposit online
4–6 Weeks Before: Seating, Shade, and Staffing
South Florida sun is no joke — even in November, midday heat means you need shade for guests. Plan your seating and shade at least a month out:
- ✅ Tents: our Event Essentials include 10×10 and 10×20 white tents starting at $85
- ✅ Tables: 8 ft folding tables ($15 each) for food, 6 ft tables for activities, 4 ft kids' tables for little ones
- ✅ Chairs: white folding chairs ($2.50 each), kids chairs ($2 each)
- ✅ Staffing: add a Bounce House Attendant ($25/hr), Server ($35/hr), or Bartender ($38/hr) for larger events
3–4 Weeks Before: Add Entertainment Layers
The best Boca Raton parties have multiple entertainment touchpoints so no guest is ever bored. Consider layering in:
- ✅ Games & Interactive — Bumper Cars, NERF Zone Battle Maze, Giant Beer Pong, Axe Throwing, Rock Climbing Wall
- ✅ Foam & Snow Parties — foam cannon experience for the warm months, snow machine for holiday events
- ✅ Event Experiences — outdoor movie screen & projector, bubble activity experience, golf simulator
- ✅ Face painting — FOMO Fun Face Paint ($75) or Artistry Deluxe Face Paint ($150)
- ✅ Mascot character appearances — Whacky Wally, Polar Bear, or Silly Sammy ($100 each)
2 Weeks Before: Confirm Logistics
- ✅ Confirm delivery address and access point (gate code, driveway width for truck)
- ✅ Verify outdoor power outlet within 50 ft of setup area (or book a Generator rental)
- ✅ Confirm event start and end time with our team
- ✅ Notify neighbors if noise is expected (especially for foam parties or live music)
- ✅ Check weather forecast — we monitor it too, and will be in contact for severe weather
1 Week Before: Final Headcount and Add-Ons
- ✅ Update headcount if RSVPs changed significantly
- ✅ Add any last-minute rentals (extra chairs, a speaker, fog machine for evening events)
- ✅ Confirm drop-off time with your rental company
Day-Of Checklist
- ✅ Clear setup area of furniture, toys, and debris before crew arrives
- ✅ Have a point-of-contact available during delivery (30–60 min before event start)
- ✅ Confirm pickup time with crew — usually within 1 hour of event end
- ✅ Keep a hose nearby for water slide setup (we'll need it connected and running)
Boca Raton-Specific Tips
HOA events: Many Boca Raton communities (Boca West, Broken Sound, Woodfield) have specific vendor requirements. Book early and ask for a certificate of insurance — we provide this for all rentals.
Park events: Patch Reef Park, Meadows Park, and Spanish River Park require event permits for commercial vendors. Apply through the city at least 4 weeks out.
Rainy season (June–September): Build a rain contingency into your plan. We monitor weather closely and will work with you to reschedule if needed.
